1. What AccuLearn is

AccuLearn is a learning platform for Fundamentals of Accountancy, Business and Management 1 (FABM 1). It delivers lesson materials and quizzes, asks you how confident you are in each answer, and uses that information to generate feedback and a personalised learning track. It is operated as part of an undergraduate research study.

2. Your account

Accounts for study participants are created for you by an administrator. Self-registration is also available, and a new account must confirm its email address and accept these policies before it can be used; a self-registered account is not enrolled in any course until an administrator enrols it. You are responsible for keeping your password private and for everything done through your account. Do not share your login with anyone, and do not use anyone else's.

3. How you are expected to use the system

  • Answer confidence ratings honestly. Every quiz question asks how sure you are. The system uses this to tell a confident mistake apart from a lucky guess, so an inaccurate rating produces feedback that does not match what you actually need.
  • Each quiz allows three attempts. If you have not reached mastery after three, the system will ask you to review the material before continuing.
  • Some quizzes stay locked until you master the topic before them. This is intentional, not a fault.
  • Do your own work. The feedback is only useful if it reflects what you actually know.
  • Do not attempt to access other students' records, other people's accounts, or any administrative function you have not been given.

4. Feedback is generated by AI

After you submit a quiz, your feedback is written by an AI language model, not by your teacher. It is generated from your answers and confidence ratings and is meant to help you study. It can occasionally be wrong or unclear. Your teacher can review, correct or withhold any of it, and your teacher's judgement takes priority over anything the system writes. If feedback does not make sense to you, ask your teacher.

5. Availability

The system runs on a single server and may be unavailable for maintenance. Feedback is generated in the background and usually appears within a minute of submitting a quiz, not instantly.

6. Your data

Your use of AccuLearn is recorded, and some of your data — your scores and the questions you answered incorrectly — is sent to an external AI service to write your feedback. Nothing that identifies you is sent: your name, username, email address, password and user ID never leave this server. What is collected, exactly what is sent outside the system, who can see it, how long it is kept and how to request a copy or its deletion are set out in the Privacy Notice, which forms part of these terms.

7. Changes and contact

These terms may be updated; you will be asked to review any new version at your next login. For any question about these terms or about your account, contact the site administrator.

What this notice covers

This explains what AccuLearn records about you, who can see it, and what you can ask for. It reflects what the system actually does.

What is collected

  • Your account details — name, username and email address, as entered by the administrator who created your account.
  • Your quiz work — the answer you gave to each question and the confidence rating you selected for it.
  • Computed scores — your Competency Mastery, Confidence Misconception Index and Guessing Index for each attempt, and the learning pathway assigned from them.
  • AI-generated text — the feedback written for each attempt and the narrative summary in your learning track.
  • Pre-test and post-test responses — answers from the paper tests, entered by a teacher.
  • Usage records — which lessons, quizzes and pages you opened, and when.

What is sent outside the system

To write your feedback and learning-track summary, the system sends the following to the OpenAI API: your mastery and confidence figures, and — for each question you got wrong — the question, the answer choices, the answer you picked, the correct answer, and how confident you said you were.

No information that identifies you is sent. Where your name would appear, the system sends the placeholder [STUDENT] instead, and puts your name back only when the feedback is displayed on your own screen. Your name, username, email address, password and Moodle user ID never leave this server.

Feedback written before September 2026 was generated differently: your first name was included in the request at that time. Those older records still contain it, and your teacher continues to see them under your pseudonym.

Who can see your records

You can always see your own feedback and learning track. Teachers reviewing AI output see students under a stable pseudonym such as “Student-4C2A” by default; revealing real names requires a separate permission that ordinary teachers do not hold. Every review action a teacher takes is written to a log that cannot be edited afterwards. Administrators can see all records.

How long it is kept

Study records are retained for 180 days, after which an administrator can remove them. Nothing is deleted automatically, and nothing is deleted without a person deciding to do it.

Your rights

You can request a copy of everything the system holds about you, or ask for it to be deleted, using Moodle's own data request tools under your profile. Both AccuLearn plugins implement Moodle's Privacy API, so those requests return the AccuLearn data as well as the standard Moodle data.
